E-signature for property managers
docuinked lets a property manager send leases, renewals and owner agreements from the system that already knows the unit, the rent and the dates, and file the sealed copy back against the tenant without anyone chasing paper.
What a property manager signs
Property management is a cycle. The same documents come back every year for every unit.
- Rental applications from prospects.
- Residential leases and renewal offers.
- Addenda for pets, parking, storage and smoke-free rules.
- Move-in and move-out condition checklists.
- Management agreements with owners, which work like a service agreement.
- Contracts with maintenance vendors, often a vendor agreement plus purchase orders.
Most of these are short and repeated, which makes them good to automate. The rent amount and the dates change. The structure doesn't.
A workflow story
A manager runs 300 units across a dozen small buildings. Renewals used to be printed, slid under doors and chased for weeks. Now:
- Ninety days before a lease ends, the property system marks the unit "renewal due".
- An n8n workflow fills the renewal PDF with the new rent and term, and places fields with text tags such as
{{signature:1}}. - It calls
create_documentwith every adult tenant as a signer and the manager as the last signer, withorderedset to true. - The leasing lead opens the approval link, checks the new rent against the rent roll, and approves.
- Each tenant signs from their own email. If a tenant wants paper instead, the page lets them ask, and the request is logged.
- On
document.completed, the workflow saves the sealed PDF to the unit's folder and updates the lease end date.
Because live sends are capped at 100 a day per account during the beta, a manager with many renewals in one month should spread them out or write to us. Bulk send is coming, not available.
An automation example
In n8n, the HTTP Request node does the work. Set the Idempotency-Key header to something like renewal-{{ $json.unit_id }}-2027. If the workflow retries, the tenant still gets one renewal, not two. The n8n page has the full recipe.
An agent can help too. A leasing assistant in ChatGPT or Claude, connected by MCP, can be asked "prepare the pet addendum for unit 4B using our template". It drafts. It can't send on its own. The leasing lead approves the exact draft first. See approvals.
For property software
If you build software for landlords or managers, you can offer signing under your brand. Each management company becomes a sub-account under your one key. Tenants see your name, logo and colour on the signing page and in the emails, and docuinked branding can be removed. You can embed signing in your tenant portal in an iframe on allowed sites, and listen for browser events to know when a tenant finishes. Emails still send from docuinked's address until custom sending domains arrive, which are coming. See platforms.
What docuinked doesn't do here
- Eviction and default notices. ESIGN does not apply to notices of default, eviction or right to cure under a rental agreement for a primary residence. Serve those the way your local law says. See 15 USC 7003.
- Utility shut-off notices. These are also excluded under the same section.
- Tenant screening. We don't run credit, background or ID checks.
- Rent collection. We don't take payments.
- Lease text. We don't write or review leases. Local rules on deposits, notice periods and required disclosures vary, so have a lawyer check your template once.

Common questions
Should the consumer disclosure stay on for tenants?
Yes, in almost every case. A tenant renting a home is a consumer, and the disclosure shows they agreed to electronic records and could open them. Leave consumer_disclosure at its default of true. See consumer disclosure.
How do I handle roommates on one lease?
List each adult as a signer, up to 10 per document. Each gets their own link and signs separately. The lease completes only when all of them have signed.
Can an owner sign the management agreement from abroad?
Yes. The signing page is a web page, so it works anywhere with a browser. The evidence record notes the time and device details of each step.
What happens to a renewal a tenant never signs?
It stays waiting. You can call remind_signers, or void it with void_document and send a new one with different terms. The voided one stays on record.
