E-signature for clinics and wellness businesses

docuinked suits the non-clinical paperwork of a wellness studio, spa or small clinic, such as waivers, memberships, room rentals and practitioner contracts, while anything holding patient health information belongs with a provider that signs a business associate agreement.

Where the line sits

Many wellness businesses are not covered by HIPAA at all. A yoga studio or a gym usually isn't. A physiotherapy clinic that bills insurance usually is. That is a question for your lawyer, not for us.

What we can say plainly: docuinked does not offer a business associate agreement today. If your business is covered, keep protected health information out of what you send, unless your lawyer says otherwise. Health history forms and treatment notes are the usual examples.

What these businesses sign

A workflow story

A small studio offers yoga, pilates and massage. New clients book online. The front desk used to hand them a clipboard.

  1. A client books a first class in the booking tool.
  2. A Zapier step sends the waiver template to the client by email, using create_from_template and then send_document with a "Sends directly" key. The waiver is fixed text, so no approval is needed for each one.
  3. The client signs on their phone in the car park.
  4. document.completed updates the booking to "Waiver on file".
  5. If the client arrives without signing, the desk sees it and opens a signing link on the studio tablet. See create_signing_link in the API reference.

For massage, the studio keeps any health questions in a separate system that is built for them. The waiver itself carries no health details.

An agent example

The owner uses an agent in ChatGPT, connected by MCP, for back office work. "Prepare room rental agreements for the two new therapists starting next month, using last year's template, at the new rate." The agent drafts both and asks to send. The owner opens each approval_url, checks the rate, and approves. Only then do the therapists get them. See approvals.

For booking and studio software

If you build booking software for studios, gyms or spas, waivers are a natural feature. Each studio becomes a sub-account under your one API key. Clients see the studio's or your brand on the signing page and emails, with docuinked branding removable. You can embed the waiver in your booking flow on allowed sites, and a browser event tells the page when it is signed so the client moves on. Signing emails still send from docuinked's address until custom sending domains arrive. See platforms and white-label.

What docuinked doesn't do here

  • No BAA, so no intake or health history forms for covered businesses.
  • No payments. Memberships are signed here and paid elsewhere.
  • No minors without a guardian. If a client is under 18, a parent or guardian should sign. Make them the signer.
  • No in-person ID checks. ID and SMS checks are coming.
  • No waiver wording. Whether a waiver holds up depends on your state and how it is written. A lawyer should write it.

Common questions

Can clients sign a waiver on a studio tablet?

Yes. Create a signing link for that document and open it on the tablet. The record shows it was signed through a link you created, so note that in your own process. Hand the tablet over and step back while they read.

Does a fixed waiver need someone to approve each send?

Not if your own server sends it with a "Sends directly" key and the text never changes. Approval matters most when an agent or a person assembles the draft.

Can an instructor sign a contract and a photo release in one go?

They are two documents, so two links. Send them together and most people finish both in a few minutes. Keeping them apart lets someone refuse photos without refusing the work.

Is a yoga studio covered by HIPAA?

Often not, but it depends on what services you offer and how you bill. Ask a lawyer. Until you know, keep health questions out of the waiver.
