E-signature for healthcare administration

docuinked fits the administrative side of a healthcare organisation, such as staff agreements, vendor contracts and policy sign-offs, but it does not offer a business associate agreement today, so documents that carry protected health information should stay out of it.

Be clear about the line first

Under HIPAA, a service that creates, receives, keeps or sends electronic protected health information for a covered entity is usually a business associate. That holds even when the data is encrypted. See the 2016 cloud guidance summary.

docuinked does not sign business associate agreements today. So our plain advice is: don't put patient information in documents you send through docuinked, unless your own lawyer has looked at it and says otherwise. That rules out intake forms, treatment consents with clinical details, and patient authorisations.

That still leaves a lot of paper.

What healthcare admin signs

A workflow story

A regional group of outpatient practices has a central office of six people. Onboarding a new medical assistant used to mean a printed packet and a folder in a cabinet.

  1. HR marks a hire as accepted in its HR system.
  2. A Make scenario creates three drafts from saved templates: the offer letter, the handbook acknowledgement and the device policy.
  3. The HR lead opens each approval link and checks the name, pay and start date. Nothing goes out before that.
  4. The new hire signs all three from a phone the evening before day one.
  5. On document.completed, the scenario files each sealed PDF in the staff record.
  6. The practice manager gets a short summary with links to the certificates of completion.

No patient data touched any of it.

An agent example

An operations lead might connect Claude to docuinked over MCP and say: "Draft vendor agreements for the three cleaning companies on this shortlist, using our template." The agent prepares three drafts and asks to send. The lead reads each one at its approval_url and approves. The agent never sends on its own, and it never signs. See human-in-the-loop.

For a fixed flow, the webhooks page shows how to check each document.completed event before your system acts on it.

For healthcare software

If you build scheduling or practice software, you can white-label signing for staff and vendor paperwork. Each practice can be a sub-account under your one key, with your name, logo and colour on the signing pages and emails, and docuinked branding removed. You can embed signing on allowed sites. Until docuinked offers a BAA, keep patient-facing forms on a provider that signs one. See platforms.

What docuinked doesn't do here

  • No BAA. We don't sign one today.
  • No patient intake or clinical consent flows. Use a provider that signs a BAA for those.
  • No ID checks or SMS codes. Coming.
  • No audit reports. We don't have SOC 2 yet. Our security page says what we do have.
  • No validated systems claims for regulated research or manufacturing records.

Common questions

Is a staff contract at a clinic protected health information?

Usually not, because it is about an employee, not a patient's care. But a document can drift. A credentialing pack that lists patient cases, for example, could carry it. Check what is in the PDF before you send.

Will docuinked sign a BAA later?

We haven't committed to a date. If we add one, this page and the changelog will say so first. Until then, plan as if we won't.

Can a vendor sign our NDA before seeing our systems?

Yes, and that is a good first flow. Send the NDA when the demo is booked, and only share access once document.completed fires.

Who in the office should hold the approval role?

Someone who can check the details against the source, like HR for staff papers or the operations lead for vendors. Keep the number of approvers small so the record stays clear.
