E-signature for education

docuinked lets schools, tutoring centres and training providers send enrollment agreements, parent consent forms, staff contracts and vendor papers, with a parent or guardian as the signer whenever the student is a minor.

What education providers sign

The documents depend on who you serve, but most providers send a mix of these:

Minors sign through a parent

A student under 18 usually can't take on a contract in the same way an adult can. The safe pattern is to make a parent or guardian the signer, by name and email. If both parents must sign, list both. Some forms may also ask an older student to acknowledge the rules. That can be a second signer on the same document. Your lawyer can say what your forms need.

A workflow story

A tutoring centre with two locations runs term enrollment through a web form.

  1. A parent fills in the enrollment form on the centre's site.
  2. A Make scenario fills the enrollment agreement with the student's name, subjects, schedule and fee.
  3. It calls create_document with the parent as signer 1 and the centre director as signer 2.
  4. The director gets an approval request. They check the fee against the price list, since discounts are applied by hand. They approve.
  5. The parent signs on a phone. They see the electronic records disclosure first, then the whole agreement.
  6. The director countersigns. document.completed adds the student to the class list and files the sealed PDF.

The photo release goes as a separate document, so a parent can say no to photos without blocking enrollment.

An agent example

Before the summer camp season, the director uses Claude connected by MCP: "Prepare the field trip consent form for each family in the July group, using the template." The agent drafts one per family. Each draft waits for the director to approve the exact text. The agent can't send them alone. With many families, this adds up to many approvals, so for a fixed form some schools use their own server with a "Sends directly" key instead. See approvals.

Remember the beta caps live sends at 100 a day per account. For a whole school, spread sends over several days or write to us. Bulk send is coming.

For education software

If you build a school management or course platform, each school can be a sub-account under your one API key. Parents see your name, logo and colour on the signing pages and emails, with docuinked branding removable. You can embed signing in your parent portal on allowed sites, with browser events when a form is done. Emails still send from docuinked's address until custom sending domains arrive. See platforms.

What docuinked doesn't do here

  • Student records systems. We hold the signed PDF and its evidence, not grades or attendance.
  • Privacy law reviews. Student data has its own rules in many places. Check what you can put in a document before you send it.
  • ID checks for parents. Coming. Today identity rests on the email address, plus an optional access code.
  • Payments. Tuition is collected elsewhere.

Common questions

Can a student over 18 sign their own enrollment agreement?

Usually yes, as an adult. Some programs still ask a parent to sign as guarantor of the fees. That is a choice about your terms. docuinked will collect whichever signers you list.

Can two parents in different homes both sign?

Yes. List each as a signer with their own email. Set ordered to false so neither waits for the other.

Should a photo release be part of the enrollment form?

We suggest keeping it separate. A parent who declines photos can still enroll, and you get a clear record of each choice.

Can a teacher send a consent form without the office?

They can if they have an account and a template. Many schools prefer to keep approvals with one office person so the record is consistent. You decide who holds that role.
